Transaction documents do not match

The contract, invoice, specification, correspondence and payments describe the transaction differently. That makes it harder to explain the shipment to the bank, customs, counterparty or court.

Where the position usually weakens

A position weakens when the document, deadline and evidence do not fit together. Start with the facts, response period and evidence chain.

01the product and configuration descriptions differ between the contract and actual deliveryeach document should support the same factual version of the transaction
02the payment method is not explained by the commercial logic of the dealdocumentary contradictions can be more damaging than a single isolated error
03correspondence records new terms that are not reflected in the formal documentsthe document set should be reconciled before it becomes evidence in a dispute

What to check now

Start with the documents that explain the facts, deadline, money, goods and parties' actions rather than collecting the entire archive.
